Whole Brain Collective Terms of Service
Please read these terms and conditions carefully in conjunction with my Privacy policy and Cookies notice before using my services. These terms tell you who I am, how I will provide my services to you, how you and I may change or end the contract, what to do if there is a problem and other important information. If you think that there is a mistake in these terms, please contact me to discuss. These terms are written in accordance to the Consumer Rights Act 2015 and form an ongoing contract between us.
Definitions and interpretation
In this Agreement, unless the context requires otherwise:
Me means Suzanne O’ Brien, owner of this website, trading as Whole Brain Collective, and the person performing the services listed on this website.
You refers to the individual accepting these terms and conditions and using these services.
Force Majeure means an event or sequence of events beyond reasonable control preventing You or Me delaying from performing any obligations under this Agreement.
Registration means your registration with Me to allow you to access my services.

These Terms of Service set out the conditions under which services are provided by Whole Brain Collective.
Terms relating to corporate and organisational services are listed first, followed by terms applicable to private 1:1 hypnotherapy sessions.
Corporate & Organisational Services
1. Scope of services
Whole Brain Collective provides neuroscience-based talks, workshops, and consultancy services for organisations. Services are educational and informational in nature and are not intended to provide medical, psychological, or therapeutic treatment.
No diagnosis, clinical assessment, or individual therapeutic intervention is provided as part of corporate services.
2. Booking and confirmation
Corporate bookings are confirmed in writing via email once the scope of work, format, date, and fees have been agreed.
Any additional requirements, including tailoring of content, session length, or delivery format, must be agreed in advance.
3. Fees and payment
Fees for corporate services are agreed in advance and confirmed in writing.
Unless otherwise agreed, full payment is required in advance of service delivery to secure the booking date.
For some organisations, a deposit and staged payment may be agreed in writing, with the balance due prior to the scheduled event.
Invoices must be paid in accordance with the agreed terms. Late payment may result in postponement or cancellation of services.
4. Cancellations and rescheduling
If the organisation needs to cancel or reschedule a confirmed booking, the following applies unless otherwise agreed in writing:
· More than 14 days’ notice: no cancellation fee
· 7–14 days’ notice: 50% of the agreed fee
· Less than 7 days’ notice: 100% of the agreed fee
Where possible, reasonable efforts will be made to reschedule.
If Whole Brain Collective is required to cancel due to unforeseen circumstances, an alternative date will be offered or a full refund provided.
5. Delivery format and technical requirements
Sessions may be delivered in person or online, as agreed in advance.
For online sessions, the organisation is responsible for ensuring appropriate technical arrangements, including internet access, platform access, and participant communication.
Whole Brain Collective is not responsible for disruptions caused by technical failures outside its control.
6. Participant wellbeing and responsibility
Corporate sessions are designed for general audiences and are not a substitute for individual medical, psychological, or therapeutic support.
Organisations are responsible for ensuring that participation is appropriate for their employees and that suitable internal support pathways are available if required.
Participants remain responsible for how they engage with and apply information shared during sessions.
7. Intellectual property
All materials, content, and resources provided during corporate services remain the intellectual property of Whole Brain Collective unless otherwise agreed in writing.
Materials may not be recorded, reproduced, distributed, or shared beyond the organisation without prior written consent.
8. Limitation of liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so under UK law.
To the extent permitted by law, Whole Brain Collective shall not be liable for indirect or consequential losses arising from participation in corporate services. Liability, if any, shall be limited to the fees paid for the relevant service.
9. Confidentiality
Any organisational information shared for the purpose of delivering services will be treated as confidential and used only for the agreed purpose.
Whole Brain Collective does not collect or retain personal employee data as part of standard corporate service delivery.
10. Governing law
These terms are governed by the laws of England and Wales. Any disputes arising in connection with corporate services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Hypnotherapy Services
1. Information about Me
1.1. Who am I?
Welcome to my website www.wholebraincollective.com. My name is Suzanne O’Brien, and I practice under the business name Whole Brain Collective. I am a Hypnotherapist with a Diploma in Hypnotherapy from the Hypnotherapy Training Company in London. I also have a PhD and an MSc in Neuroscience, and a BA in Psychology.

2. Services
2.1. Appointments
All my appointments are currently online via GoogleMeet. Each consultation lasts approximately 50 – 60 minutes.
The number of sessions required by each client can vary, therefore I advise you book sessions one at a time rather than multiple in advance.
2.2. Online / virtual sessions
I use GoogleMeet for all online appointments. Online sessions require a good WiFi signal and I advise you to find a space at home where you won’t be disturbed. Headphones are also advisable. If the connection is lost and cannot be re-established within 1 minute, I will contact you by email or phone (on the phone number you provide at the time of registering) to either continue by phone or reschedule.
2.3. Techniques and methods
I draw on a range of techniques in my practice, including hypnotherapy, Hypno-EMDR, NLP, and neuroscience-informed approaches. Sessions may occasionally be supported by audio recordings for you to listen to at home. These recordings are for your personal use only and must not be shared with others.
Hypno-EMDR is a blended method that combines elements of Eye Movement Desensitisation and Reprocessing (EMDR) with hypnotherapy. While it is informed by EMDR principles, it is not formal EMDR therapy as provided by accredited EMDR practitioners registered with EMDR Europe or EMDR UK. Instead, it uses adapted techniques suitable for integration within a hypnotherapeutic framework by appropriately trained hypnotherapists.
2.4. Fees
Fees for private hypnotherapy sessions are confirmed prior to booking.
Unless otherwise agreed, payment is required in full before each session. Payment details will be provided at the time of booking.
2.5. Guarantees
Hypnotherapy is a collaborative process which requires commitment and motivation from each client and individual results vary. No specific outcomes are guaranteed.
2.6 Medical Disclaimer
The services offered on this website, including hypnotherapy and Hypno-EMDR, are not a substitute for medical advice, diagnosis, or treatment provided by a qualified medical professional. I do not diagnose medical or psychological conditions, nor do I offer medical or psychiatric care. Clients are advised to consult with their GP or mental health professional before making changes to any prescribed treatment. Hypnotherapy is a complementary service and should not be used in place of professional medical care.
2.7. Number of sessions
The number of sessions required and results from treatment vary from person to person. There is no obligation to book a certain number of sessions.
2.8. Punctuality
If you arrive late to your appointment, I may not be able to extend the session beyond the scheduled end time, and the missed time may be forfeited.
3. Cancellations
3.1. Cancellation policy
I create bespoke treatment plans so work is often undertaken ahead of your scheduled session. This is why I require a minimum of 24 hours notice to cancel or reschedule an appointment.
Cancellations made with less than 24 hours’ notice may not be eligible for a refund.
If I need to cancel a session, you will be offered the option to reschedule or receive a full refund.
3.2. The Cooling-Off period
Under the Consumer Contracts Regulations 2013, you have the right to cancel your booking within 14 days of confirmation.
If you choose to begin sessions within the 14-day cooling-off period, you acknowledge that you waive your right to cancel once the service has commenced.
Appointments booked to take place within 24 hours of booking are not eligible for cancellation or refund.
3.3. Refunds
Where you have a right to end the contract, I will refund you the price you paid for the services, using the same the method you used for payment. This will require you to provide me with your bank details.
4. Registration
4.1. Registration form
Before a session commences, you will be required to complete a registration form. This information includes (but is not limited to) your name, date of birth, phone number, address, email, symptoms and previous hypnotherapy experience. By registering with me, you agree to inform me if any of your contact information changes. Please read my Privacy Policy for information on how I use this information.
5. Termination
Either you or I may end the therapeutic relationship at any time.
Ending services does not affect any rights or obligations that have already arisen.
6. Your information
6.1. Privacy
I process information about you in accordance with my Privacy and Cookies policy.
6.2. Security
Communications between us will take place via email or the telephone numbers supplied on the registration form. Through the use of potentially unsecured email, there is risk that Private Health Information may be disclosed to and/or intercepted by unauthorised third parties. As such, I cannot ensure the security of messages sent by email.
7. Registration
7.1. Agreement
By registering to book appointments and use my services provided on the Website you agree that:
You have read, understood and agree to all of the terms set out in this Agreement (and all other Terms referred to as if they were set out in full within this Agreement);
You are over the age of 18 or have the legal capacity to enter into this agreement, or you are the parent/guardian of a minor under 18;
The information that you provide to me is accurate;
You agree not to share any treatment, recordings or techniques I provide to you with anyone else.
You have sought the advice of a medical professional for any medical issues and received confirmation from them that hypnotherapy is appropriate.
7.2 Limitation of Liability
While I make every effort to provide a professional, ethical, and effective service, I cannot guarantee specific outcomes from hypnotherapy or Hypno-EMDR sessions. By engaging with my services, you accept that any decisions or actions you take as a result of our work together, or from information provided on this website, are your own responsibility.
To the fullest extent permitted by UK law, I exclude all liability for any direct, indirect, incidental, or consequential loss or damage arising from the use of my services or website content. My total liability, if any, shall be limited to the amount paid for the relevant session(s). By using my services, you agree to hold me harmless from any claims related to the outcomes of our work, including any alleged errors or omissions.
7.3. Statutory rights
These terms do not affect your statutory rights.
7.4. Breach of terms
I reserve the right to refuse to accept your registration or to suspend or deny access to the Website if you breach the terms set out in this Agreement.
8. Complaints
8.1. Making a complaint
I hope that you will be happy with the service I provide. However, if you do have any complaints then please contact me at suzanne@wholebraincollective.com. You can also submit a complaint to the General Hypnotherapy Standards Council (GHSC) at admin@general-hypnotherapy-register.com.
9. Force Majeure
I will not be liable if I am prevented or delayed in performing my obligations under these terms due to Force Majeure.
10. General
10.1. Severance
If any provision of this Agreement (or part of any provision) is or becomes illegal, invalid or unenforceable, the legality, validity and enforceability of any other provision of this Agreement will not be affected.
10.2. Rights of third parties
No person other than you or us will have any right to enforce any of this Agreement’s provisions.
11. Governing law and jurisdiction
This Agreement and any dispute or claim arising out of, or in connection with, it, its subject matter or formation (including non-contractual disputes or claims) will be governed by, and construed in accordance with, the laws of England and Wales.
You irrevocably agree that the courts of England and Wales will have exclusive jurisdiction to settle any dispute or claim arising out of, or in connection with, this Agreement, its subject matter or formation (including non-contractual disputes or claims).
